Why we collect personal data

We collect personally identifiable information, or data, to enable us to provide our customers and visitors with the best experience possible, right through your journey as a customer of ours.

For certain activities to be possible, we must collect personal data from you, such as to make an enquiry or to place an order. In other circumstances you can choose to share your data with us for things such as subscribing to our email mailing list or allowing us to use cookies to help ensure your experience on our website is as good as possible.

 

How we use your personal information & what information we hold

Here are the ways in which we use your personal information and what information we hold to do those things:

For customer enquiries

For customer enquiries we will need to take your name and telephone number and/or phone number if we need to get more information and come back to you. A log of this interaction is likely to be made in our customer management system (CMS) so that should you call again our customer service team will be able to easily recall your previous contact and provide satisfactory customer service.

For taking and processing customer orders

For all orders placed over the telephone, on our website or in any other manner, a record of all of your necessary personal data will be taken to process the order successfully, this will include but is not limited to your Title, First name, last name, email address, telephone number, delivery address, billing address and any relevant additional details, especially in the case of bespoke orders. This information will be held securely in our CMS and will be used by our warehouse and manufacturing team to process your order as well as for us to contact you to notify of the progression/status of your order.

To take payments and issue refunds

Data relating to making your payment or issuing a refund will also be taken, for example your credit or debit card details, however these are processed using our secure payment gateway, and are never stored by Racesafe.

To deliver your order to you

We will share necessary personal data with our courier, DPD, so that they can deliver your order to you. They will not share your data with any third parties and use your data solely to deliver your parcel.

Fraud detection and prevention

To detect fraud against either us or you.

To provide relevant, tailored marketing

If you choose to sign up to our mailing list, then your details will be stored in our CMS as well as on Mailchimp (our email marketing platform).

If you choose to sign up to our postal mailing list, then your details will be stored in our CMS and you may receive materials such as brochures and flyers through the mail.

We may use cookies to show you relevant advertisements online (see cookie policy below).

To run giveaways and competitions

If you chose to enter one of our competitions or giveaways then we will need to take and store any relevant personal information to be able to successfully enter you, and to contact you when a winner is drawn (which could be you!)

Customer research

We may, at times, invite you to take part in a survey or questionnaire, to help us understand our customers, how you have found your experience with Racesafe, and identify areas for improvement.

To train our staff

We may use your information during staff training, to ensure you get the best possible customer service.

To improve your experience on our website

We will use information such as your IP address to automatically set certain aspects of the website for you, such as currency.

 

How we seek consent to hold data

Depending on the circumstances in which you are providing data will depend how we seek consent. Here is a list of examples below:

When you sign up to our mailing list

When you sign up to our mailing list, either using our standard website form, during the checkout process or during a competition entry, we will always seek your consent by asking you to tick a positive opt. in field to confirm that you would like to join our mailing list. You will then be sent a confirmation email to ensure for a second time that you meant to join our mailing list. Upon clicking the link in this email your will then be successfully added to our mailing list. This double opt-in process ensures you wished to sign up. You can easily unsubscribe at any time using the link at the bottom of any of our emails to you.

When you place an order with us online you will be presented with a link to our terms and conditions which state the need for us to store your details, and a tick box you must tick to say that you have read and agree to our terms and conditions.

When you place an order with us over the phone the customer service advisor will verbally request your permission to store and use your data for us to process your order. You will be sent a confirmation email with all of these details in.

When you make an enquiry

When you make an enquiry by phone our customer service advisor will check that you are happy for us to store and use your details for the purpose of the enquiry.

If you make an enquiry using a form on our website, you will be asked to tick a box confirming that you are happy for us to store and use your details for the purpose of the enquiry.

 

How we record and manage data

We record all customer data in our secure customer management system (CMS). In addition to this, if you sign up to our mailing list, then your contact details and mailing preferences will be stored securely in Mailchimp, our email marketing platform.

 

Sharing personal data

We do not, and will not, sell any of your personal data to any third party at any time.

We will need to share your data with payment service providers and delivery companies as this is an essential part of being able to provide our services to you.

 

How we delete personal data

It is your right to ask us to permanently erase your data from our systems. To do so we do three things; firstly, we will permanently remove any record of your personal details from our CMS and Mailchimp account. Secondly, we will scan our companies’ digital files for your name, email address and postcode to ensure no trace is found anywhere within our system. Lastly, we will identify any physical record containing your personal details and destroy them.

 

Your Rights

You have many rights in relation to your personal data, including:

  • The right to be told about how your personal data is being used by us.
  • The right to be told about how your personal data is being used by us.
  • The right to see the personal data that we store about you.
  • The right to request a correction of incorrect personal data we store about you (much of which can be done in ‘my account’ if you are an account holder)
  • The right to request that we erase your data completely, or stop using it or collecting it in various different circumstances.
  • The right to withdraw your consent to receive marketing messages, which can be done via unsubscribing from our mailing list using the link in any email from us, or via my account.

Any access request will be processed as required by law. Racesafe will provide you with a copy of any personal data undergoing processing free of charge.
